1. Who is responsible for your data?

Depending on how you use the site, we may collect your name, billing and delivery addresses, email address, telephone number, account details, order history, correspondence, delivery information, device/browser information and cookie or analytics information.

Payment card details are handled by the payment provider used at checkout. We receive information needed to confirm and manage the transaction, but we do not receive your full card number.

3. Why we use personal information

  • To fulfil your order: taking payment, arranging fulfilment and delivery, providing order updates and dealing with returns or customer-service requests.
  • To meet legal obligations: including accounting, tax, fraud prevention and responding to lawful requests.
  • For legitimate business interests: protecting the site, preventing misuse, keeping appropriate business records and improving our service where those interests are not overridden by your rights.
  • With consent: for non-essential analytics/cookies and any direct marketing that legally requires consent.

4. Who we share information with

We share only the information needed with service providers involved in running the store. These can include our website/hosting providers, WooCommerce services, payment providers, our UK fulfilment partner, delivery couriers, email providers, fraud/security services and analytics providers where you have given the required consent.

For fulfilment, the delivery name, address and relevant contact details may be passed to our fulfilment partner and courier so that your order can be packed, booked and delivered.

5. International processing

Some technology and payment providers may process information outside the UK. Where this happens, the provider is responsible for using an appropriate legal mechanism or safeguard where required. Their own privacy notices provide further detail about their processing locations.

6. How long we keep information

We keep personal data only for as long as there is a legitimate reason to do so. Order and transaction records may be retained for up to six years where needed for accounting, tax, legal claims and business records. Customer-service correspondence and technical records may be kept for shorter or longer periods where appropriate to their purpose.

7. Your rights

Under UK data-protection law, you may have rights to ask for access to your personal data, correction, deletion, restriction, objection, portability and withdrawal of consent, depending on the circumstances. To make a request, contact hello@emberandthorne.co.uk.
